The portrait tells the system what you look like. The passport image tells it which legal document says so. Both can be made at home; both deserve more attention than a receipt photograph taken under a kitchen spotlight.
Before taking either image
- clean the phone or camera lens;
- turn off beauty modes and filters;
- use the current passport;
- find bright indirect daylight;
- avoid strong overhead or coloured light;
- check the official portal for current upload instructions.
Technical dimensions can change with the interface. The durable requirements are clarity, truthful appearance and complete readable content.
Portrait setup
Stand or sit in front of a plain light background. Face the camera directly, with the head upright and eyes open. Use a neutral expression and even light across the face.
Avoid:
- hats or head coverings except where permitted for religious reasons without hiding facial features;
- tinted glasses or glare;
- hair covering the eyes;
- dramatic portrait shadows;
- cropped forehead or chin;
- tilted head;
- another person or object in the frame;
- screenshot of a social-media profile;
- retouching that changes skin, face shape or identifiable marks.
Ask another person to take the image at eye level if a selfie angle distorts the face.
Portrait crop
Upload the source and use the official crop tool as instructed. Keep the full head visible with appropriate space around it.
Do not repeatedly save and screenshot the crop; each cycle can reduce quality. Work from the best original file.
Passport-page setup
Place the passport open on a flat, clean, matte surface beside a window. Hold the camera directly above it, parallel to the page.
The image should show:
- all four page edges;
- portrait and security features without glare;
- full name;
- passport number;
- issue and expiry dates;
- date of birth and citizenship;
- complete machine-readable zone;
- natural colour and sharp text.
Use a second sheet or a slight repositioning to control reflection. Do not press the passport under glass if the glass creates glare.
Common passport-image failures
Glare over one digit
The rest of the page can be perfect while a hologram hides the passport number. Move the light or camera; do not guess that software will reconstruct it.
Perspective distortion
An angled photo turns the rectangle into a trapezoid and makes one side soft. Keep camera and page parallel.
Cropped machine-readable zone
The two lines at the bottom are essential. Show the whole identity page, not a close crop around the portrait.
Fingers and clips
Do not cover edges, numbers or security marks. Use gentle weights outside the page if the passport will not stay open.
Messaging-app compression
Sending the image through a chat app can reduce resolution. Transfer the original file through the designated secure method.
Privacy while taking the image
Check whether the phone stores location metadata and use a secure device. Do not leave passport images in a shared photo album or automatic workplace backup.
Delete rejected duplicates from shared or cloud locations when no longer needed, following the service and legal retention context.
The full-size review
After upload, inspect at 100% or zoom:
- can every passport character be read?
- is the face sharp?
- are edges complete?
- is colour natural?
- is any reflection hiding text?
- did the portal crop the correct area?
- is this the same current passport used in the form?
Then compare the typed fields with the visible page. Image quality cannot correct a transcription error.
If the portal accepts a poor image
Replace it if the form still permits. Technical upload acceptance only confirms the file passed basic system rules. The authority still assesses the application.
If you cannot create a clear image, use a professional photo service and explain that you need a digital visa portrait and full passport-page image—not merely printed passport photos.
